Terms of Service

These Terms of Service (ToS) govern access to and use of the JustOneEvent platform available at www.justoneevent.com. By using the service, you accept these ToS without reservation.

1 Service purpose

JustOneEvent is a SaaS platform enabling organisers (non-profits, companies, public bodies, individuals) to create and manage local events, receive online registrations and generate confirmation QR codes for attendees.

2 Access to the service

The service is open to any natural or legal person with an internet connection.

Using the service as an organiser (event creation, registration management) requires creating an account with a valid email address and password.

Using the service as an attendee (event registration) does not require an account: only a name and a valid email address are required.

JustOneEvent reserves the right to suspend or delete any account in case of breach of these ToS, without notice or compensation.

4 Organiser obligations

As an organiser, you undertake to:

  • Provide accurate and up-to-date information about your account and events.
  • Comply with the legislation applicable to the events you organise (safety, administrative filings, etc.).
  • Process attendee data in compliance with the GDPR. Under articles 4 and 28 of the GDPR, the organiser is the data controller (deciding the purposes: maintaining a registration list, contacting attendees, exporting CSVs) and JustOneEvent is the data processor for the technical operations of storage, confirmation delivery and QR code generation. A processor agreement (DPA) compliant with GDPR article 28 is available for Pro and Business plans on request at the contact address.
  • Not use attendees' emails for purposes unrelated to the relevant event.
  • Not create events with illegal, defamatory, discriminatory or offensive content.
  • Keep your login credentials confidential.

Event retention: events whose date has passed by more than X months (admin-configurable, default 3 months) are automatically deleted from the platform, including their registrations and images. Organisers with a paid subscription (Premium, Pro or Business) can opt an event out of this automatic deletion from the event settings.

Event cancellation: the organiser can cancel an event at any time from its edit page. This is irreversible: active registrants automatically receive an email notifying them of the cancellation, the event is removed from the public list, and new registrations are closed. The organiser remains responsible for any consequence of the cancellation (refunds where applicable, follow-up communication, etc.).

Custom fields on the registration form When you enable the 'custom fields' feature on your registration form, you become a GDPR data controller for the data thus collected. You commit to: (1) apply the minimisation principle — only ask for what is strictly necessary to organise your event ; (2) NEVER collect via these fields any data falling under Article 9 GDPR (health, political opinions, religious or philosophical beliefs, trade-union membership, genetic or biometric data, sex life or sexual orientation, racial or ethnic origin) unless you have an explicit dedicated legal basis that you document ; (3) inform registrants of the collection purpose in the field title, the field label or the event description ; (4) respond yourself to GDPR rights requests (access, rectification, erasure) that registrants address to you about the answers they gave you. For each field you choose its scope ("for the group": a single answer given by the leader of a multi-participant registration ; "for each person": every participant answers separately, creating as many stored answers as registrants in the group). The minimisation principle applies to both scopes: don't ask under "for each person" what is only useful at the group level, and conversely. JustOneEvent acts as a processor for the storage and display of these data ; the obligations to qualify the processing are yours.

Free-text note in the confirmation email You can add a free-text note (500 characters max) to your event ; it is included in the confirmation email sent to registrants, after their QR code and before the cancellation link. This note lets you add information useful for attendance (gear to bring, access, parking, dress code). You remain responsible for the content of this note. For security reasons (anti-phishing), JustOneEvent automatically rejects any note containing links (URLs, email addresses, domain names): useful links for your event must appear in the public description, where registrants can verify them before signing up.

Group registrations When you enable group registrations, a visitor can register up to 10 people (themselves + 9 additional) in a single submission. Each participant produces a separate registration in your dashboard, with their own QR code and their own registration code. If an additional participant does not provide their email address, the leader's address is used for the confirmation (the recap email then includes the QR code and registration code of each additional participant). You remain a GDPR data controller for the data of each of these participants: the obligations of minimisation, information and response to rights requests apply to all registrations in the group, including those routed under the leader's email.

5 Subscription and billing

Subscription: paid plans (Premium, Pro, Business) are purchased from the dedicated interface and grant access to the corresponding features as soon as the payment is confirmed by our payment processor (Stripe Payments Europe Ltd.).

Billing: subscriptions are billed monthly via automatic charge on the registered payment method, on the anniversary date of the subscription. Prices are listed in euros, taxes included. Any price change takes effect on the next billing cycle and is notified 30 days in advance.

Plan changes: the organiser can change plan at any time from the billing portal. Upgrading to a higher plan takes effect immediately: the price difference between the old and the new plan is prorated against the time remaining in the current period and charged immediately to the registered payment method. Downgrading to a lower plan takes effect at the end of the current billing period: the organiser keeps the features of the current plan until that date, with no prorated charge or credit.

Cancellation: the subscription can be cancelled at any time from the billing portal. Cancellation takes effect at the end of the current billing period: the organiser keeps access to paid features until that date, after which the account automatically reverts to the Free plan.

No refund: no partial refund of the current month is granted in the event of cancellation, account deletion, or downgrade to a lower plan, except where required by law.

Payment failure: if a charge fails, Stripe automatically retries the payment several times. If the payment cannot be collected, the subscription is cancelled and the account reverts to the Free plan.

Effect on existing events: downgrading to a lower plan or reverting to the Free plan (cancellation, payment failure, subscription deletion) does not delete or unpublish existing events, including those that would exceed the caps of the new plan. The organiser retains read, edit and archive access to these events; new registrations remain open up to the monthly quota of the new plan. However, the organiser will not be able to create a new event until back under the cap (by deleting existing events or re-upgrading). Events marked as preserved indefinitely while the organiser held a paid subscription retain that status after the change (the event record and its aggregates remain available), it being understood that participant identifying data attached to those events are anonymised in accordance with the following paragraph.

Promotional codes: a valid promotional code may be applied when subscribing or updating a subscription, subject to the conditions of use specific to each code (validity period, eligible plans, combination with other offers).

Participant data retention and anonymisation: in accordance with the storage limitation principle (GDPR Art. 5(1)(e) — CNIL reference for prospect/customer data), participant identifying fields (name, email address, phone number, ticket QR code) are automatically and irreversibly anonymised 36 months after the event date. This applies to every event regardless of the organiser's plan, including events marked as preserved indefinitely. Statistical fields without direct identifiers (gender, birth year, city, registration status, check-in timestamp) are retained so the organiser can still produce aggregates on archived events. Participants may request earlier deletion of their data at any time via the dedicated contact form.

6 Content ownership

Content created by organisers (event texts and images) remains the property of their authors. By publishing them on JustOneEvent, you grant JustOneEvent a non-exclusive, worldwide, royalty-free licence to display, reproduce and distribute this content within the service.

JustOneEvent retains full ownership of the platform, its source code, its design and its trademarks.

7 Service availability

JustOneEvent strives to ensure the availability of the service 24/7 but cannot guarantee uninterrupted availability. Maintenance may cause temporary interruptions. JustOneEvent cannot be held liable for damages resulting from a service interruption or malfunction.

8 Limited liability

JustOneEvent acts as a host and technical provider. JustOneEvent is not responsible for the running of events organised through the platform, nor for the relationships between organisers and attendees. JustOneEvent's liability cannot under any circumstances exceed the sums effectively paid by the user over the past 12 months.

9 Changes to the ToS

JustOneEvent reserves the right to modify these ToS at any time. Users will be informed of changes by email or by notification on the platform. Continued use of the service after notification constitutes acceptance of the new ToS.

10 Termination and account deletion

You can delete your account at any time from Settings → Delete my account. Deletion entails permanent loss of all your data and events.

JustOneEvent may terminate an account without notice in case of serious breach of these ToS, fraudulent behaviour or abusive use of the service.

11 Applicable law

These ToS are subject to French law. In the event of a dispute, the parties will endeavour to find an amicable solution. Failing this, the competent courts of the registered office of JustOneEvent shall have exclusive jurisdiction.
