Run a local trade fair — visitor pre-registration
Chamber of commerce, industry federation, competitiveness cluster, CCI-organised industry day: here is how to qualify visitors upfront, smooth out reception with a QR code and feed the exhibitors' CRM.
Typical scenario
Hervé runs a digital industry day for the Vannes Chamber of Commerce: 12 exhibitors, 250 expected visitors. Before: a classic registration platform without pre-printed badges, so 250 people queued at reception in the morning to pick up their badge. Today the JustOneEvent form captures name, email, phone and city upfront; name badges are printed the day before from the CSV export; at reception, each visitor shows the QR code received by email and the scan takes a few seconds. Exhibitors get the registrant CSV the next day for their follow-up, with visitors' consent collected via a dedicated checkbox at registration.
3 tips for a converting trade fair
-
1Qualify visitors at registration — The form captures name, email, phone and city. To qualify further, add custom fields ('Company' as free text, 'Sector' as single choice, 'Current project' as free text): answers land in the participant table and the CSV export, ready to pre-orient visitors before the day.
-
2Personalised QR-code badges printed the day before — From the CSV export, print name badges the day before. At reception, each visitor shows the QR code received by email: the scan takes a few seconds. Scanning is reserved to your team (you and your staff members); for commercial follow-up, only share the CSV export with exhibitors for visitors who ticked the dedicated consent checkbox.
-
3H-2 exhibitor brief by email — Two hours before opening, export the CSV and email a brief to the exhibitors: number of registrants, profiles profile breakdown (custom fields). They adjust their booth pitch to the expected flow. Virtuous effect: they arrive with a reading grid, not blind.
